Appointments ICalendar Export Tutorial
When exporting "Appointment Calendar" data from CareerHub to the vast array of external calendar programs which are available, you will generally follow the same basic steps:
- Export appointments data from CareerHub using the link
- Import the file/link into your external calendar program. We have provided a tutorial for synchronising Microsoft Outlook 2007 with CareerHub Appointments.
Exporting Appointments from CareerHub
1. Go to the appointments calendar you wish to export.
2. Press the 'Export Appointments' link in the actions panel.
3. Insert your password in the input box. (Note: if you are exporting another administrators appointments you will have to get them to input their password here.)
4. Select the link in the 'ICalendar Link' Text box and press 'Ctrl-C' to copy it to your clipboard
IMPORTANT
This link will send details to your calendar including available time and the names of students that have booked appointments. Due to the sensitive nature of this information it is important that you DO NOT SHARE this link with anyone. For this reason you will also need to enter the password of the calendar owner below to generate the ICalendar link.
Synchronise Microsoft Outlook with CareerHub Appointments
1. In the Outlook header menu select 'Tools' > 'Account Settings...'.
2. Select the 'Internet Calendars' Tab.
3. Press the 'New' Button.
4. Insert the copied link from the 'Exporting Appointments from CareerHub' step above into the field and press add.
5. You can now give you appointments calendar a unique name and description then press 'OK'.
7. Your appointments calendar should now appear in Outlook alongside your other calendars. This calendar is read only as you can only modify appointments schedules using CareerHub. The appointments calendar will update from CareerHub during Outlook's download interval (this is when Outlook sends/receives mail). You can also force an update by pressing 'F9' or selecting 'Tools' > 'Send/Receive' > 'Send Receive All'
8. Outlook also lets you view your calendars in an 'Overlay mode' by right clicking a calendar in the left hand calendar menu and selecting 'View in Overlay Mode'.

Note:
If while trying to import your appointments Outlook keeps saying it cannot 'verify the internet calendar' file, the problem lies with the files http:// header. To get around this easily,
1. Paste the private URL for the ICS file into your browser (Firefox, in my case) location bar
2. Change the http:// prefix to webcal://
3. Hit enter
4. The browser should then offer to launch the external application (Outlook 2007) for you to handle this URL.
5. Follow the Outlook 2007 prompts and it should subscribe to the calendar
