Updating current students to graduate status

I suggest you do this process a few weeks after the end of every semester. 

For those of you that use the CareerHub Provisioning Server this process is not necessary as all your student details will be automatically updated via the student system. However if you don't have this luxury this process offers a reasonably easy solution to keeping your data up-to-date. 

You will require some involvement from a technical contact at you institution to make this possible though. You will need to ask them for a .CSV file of all the student ID's (or usernames if your students login with usernames) of the students that have graduated since you last ran this process. The file they provide should be easily opened in Notepad and should look like this:

455667
etc

Note that every student ID is simply on it's own line. 

What does the student see?

After a current student is set to graduate status, the next time they log in they will be presented with an alert:

You can see in this example that the student would continue using their student number or username - whatever they were using to login before they were changed to graduate status.

And here's an example of the sort of email sent to the student (this example was taken from my Google mail account):

Note: this email is based on a template and can be modified through Communications > Automated System Emails on the Configuration page in admin. The template key is "JobSeeker.PasswordReset".

The student can then enter this new password and login. By editing their details (My Details by default) they're then able to update their password to one they'll remember.

    If you noticed the inconsistent text case and misspelling demonstrated in this video, you'll be pleased to know we've fixed that up now (if you're reading this comment in the next few weeks your site may not have been updated yet).

    We're just finishing up a period of heavy development where things were changing quite rapidly (and not always consistently). Now that that's drawing to an end we'll be spending time fixing up these sort of glitches throughout the system and add polish. Thanks for bearing with us.

    Hi,
    The video said that when you updated the status of the students to Graduate that it changes the way they login and that they will need to set a new username and password.

    Can you please elaborate on this area further?
    Does it delete the current username and password, leaving those sections blank? How do the students know they need to set a new username and password eg are they sent an automated email such as, " your status has been upgraded to Graduate" etc?

    Any further information you can supply in regards to the full impact on the student experience when updating their status to Graduate would be appreciated.

    Hi Karen, I've updated the article text above to address your question about the student experience - see the section "What does the student see?"

    The student would continue to use whatever username or student number they were using before, only after they've been set to graduate they now have the option to change their login to anything they want (on the My Details page).
